Booking and Payment
1.1 The hirer will be invoiced at the end of each month unless otherwise agreed with Centre Management.
1.2 Bookings are only confirmed once agreed by the Centre and, where applicable, any deposit has been received.
1.3 A cancellation fee of 50% of the hire charge is payable if less than 14 days’ notice is given.
1.4 The full hire fee will be charged if less than 7 days’ notice is given.
Use of the Premises
2.1 The hirer shall only use the room for the purpose agreed at the time of booking.
2.2 Nails, tacks, screws, or adhesives must not be used on walls, ceilings, or furniture.
2.3 The electrical system must not be altered or interfered with in any way.
2.4 The use of electrical appliances, specialist equipment, furniture, or the consumption of alcohol must be agreed in advance with Centre Management.
2.5 No event may be advertised using fly-posters.
Health and Safety
3.1 The hirer is responsible for ensuring compliance with all relevant health and safety regulations.
3.2 Fire exits must be kept clear at all times, and all users must familiarise themselves with fire procedures.
3.3 The hirer must not exceed the maximum occupancy of the room.
3.4 Smoking and vaping are not permitted on the premises.
Safeguarding
4.1 The hirer is responsible for ensuring appropriate safeguarding measures are in place where children or vulnerable adults are present.
4.2 The hirer must comply with all relevant safeguarding legislation and guidance.
Insurance and Liability
5.1 The hirer is responsible for obtaining appropriate public liability insurance where required and must provide evidence upon request.
5.2 The Centre shall not be liable for any loss, damage, or injury sustained by the hirer or any person attending the event, or for any loss or damage to property brought onto the premises.
5.3 The hirer agrees to indemnify the Centre against all claims, losses, damages, and expenses arising from their use of the premises.
Damage and Loss
6.1 The hirer undertakes to pay the full cost of repair or replacement for any damage to the Centre or its property caused during the period of hire.
6.2 This includes damage caused by fire, negligence, misuse, or default of the hirer or attendees.
6.3 The hirer is responsible for any loss, theft, or breakage of equipment while in their care.
Conduct and Responsibility
7.1 The hirer is responsible for the conduct of all persons attending the event.
7.2 The hirer is responsible for any actions, costs, or legal consequences arising from the use of the Centre, including breaches of law, copyright, or licensing regulations.
Cleaning and Vacating
8.1 The hirer must leave the room in a clean and tidy condition.
8.2 All rubbish and property belonging to the hirer must be removed at the end of the hire period.
8.3 The hire period includes setup and clearing time. Additional charges may apply for overruns.
8.4 The hirer must inform reception when the room is vacated.
Alcohol and Licensing
9.1 Where alcohol is consumed or supplied, the hirer is responsible for obtaining any necessary licences or permissions.
9.2 The hirer must ensure compliance with all licensing laws.
Right to Refuse or Terminate
10.1 The Centre reserves the right to refuse or cancel a booking at its discretion.
10.2 The Centre may terminate a hire without notice if these conditions are breached or if the activity is deemed unsafe, unlawful, or inappropriate.
Force Majeure
11.1 The Centre shall not be liable for any failure to fulfil bookings due to circumstances beyond its control, including but not limited to emergencies, power failure, or government restrictions.
Definitions
12.1 The term “hirer” includes the individual or organisation booking the room and all persons attending the event, including staff, contractors, and agents.
